Formal Tender Process to Procure Digital Services and Products

Equestrian Australia (EA), the peak body for administration of Equestrian Sport in Australia, is undertaking a formal tender process to procure digital services and products, to deliver a new Sports Management System (SMS) to drive operational efficiency and enhance the member experience at all levels. At this time, EA is inviting Expressions of Interest (EOI) from the equestrian industry and sports management/governing body platform providers. This EOI process then will inform a long-list of vendors/respondents to go forward into the formal ITT process, should they be eligible and wish to participate

Key Objectives of this project will include:

  1. Centralisation of data and record keeping
  2. A highly modern and secure cloud-based environment. 
  3. Creating operational and administrative efficiencies in workflows and functions
  4. Enhancing the customer experience and automating processes
  5. Developing automated reporting inclusive of data visualisation 

The future platforms key functional requirements will include, but are not limited to:

  1. Membership registration 
  2. Membership management
  3. Horse registration & management 
  4. Event results and scoring registry
  5. Member communications
  6. Competition Master Calendar 
  7. Competitor management
  8. Key interfaces such as: 
  • Third Party Competition and Scoring Systems
  • Marketing Platforms  
  • EA Website 
  • International Federation for Equestrian Sports (FEI)
  • Learning Management System 
  • Payment Gateway 
  • Automated reporting and data visualisation

  • Location/time zone of key contact(s)

The EOI documentation will be provided to key contact(s) who will be invited to a procurement site once they have confirmed their intention to respond. Interested parties will be required to submit the following documentation via the procurement site:

  • Response to the Tenderer Terms of Participation
  • Up to two (2) Case Studies, demonstrating capability relevant to the scope of work
